In suite gatherings/events... what am I forgetting?

Hi All,

We will have about 45 people up to our suite at the PH for a happy hour the night before the wedding. There will likely be people popping in and out for cocktails all weekend long. Can we discuss the logistics?

We do a huge booze run. Bring our empty suitcases to smuggle it all in if necessary. Total Experiences said just don't have a liquor store van show up for a delivery (someone did that once!) Figuring out how much we need is an entirely different story! Luckily there is an ABC in the Miracle Mile shops.

Ice - do I buy this at the liquor store? I mean, it's going to melt! i am planning to fill up the tub with ice and throw in the beers, but that's a lot of trips to the ice machine with that tiny bucket. Anyone have experience here? Also, is housekeeping going to freak when they see the tub filled with beer? :)

I need to bring plenty of napkins, cups, garbage bags..maybe a plastic table cloth for wherever we set up the bar. what else??

Am I missing anything? Food is just going to be snacks - chips and pretzels, maybe some dip. I'll get plastic bowls for that locally.

  • Dont be a mess! You are right on track. Dont forget extra garbage bags so you can tidy up a bit (keep housekeeping happy). Are you able to just sneak in the ice for your meet & greet but not have it for your whole stay? With PH do you have to rent another fridge?

    How many people will you have?

  • You know, I never thought about renting another fridge. I am pretty sure the one in the suite is small. I will look into that. That would help a little bit.

    We will definitely have to do a big ice run before the meet and greet. I won't have a car that day. Hope the groomsmen are up for the challenge :)

  • What if you bought a bunch of those Extra Extra Large Ziploc bags and put the ice you buy at the liquor store into those at your car before you head up to your room? That would stop them from melting everywhere and you could put a bunch into a suitcase to bring up sneakily.

    Also, maybe in addition to napkins, get a bunch of cheap towels/cloths from target or something for cleaning up spills... You know you're bound to have at least one!

    I was reading a list online somewhere and I remember one of the tips was about getting people up after 9 pm or so, make sure there aren't security guards at the elevators checking for key cards, or else you will have to bring people up in small batches. Definitely doable though so don't worry! :)

  • Another option (maybe) is one of those delivery services. They charge something stupid like $20+tip (and the cost of the item ofcourse) to pick up and deliver anything you want.Maybe you could get them to deliver some ice on the afternoon of the meet & greet www.anythinguwantdelivery.com

  • In regards to the ice, pack some disinfecting cleaning wipes, scrub the garbage cans clean and then use them to hall the ice. Or just line the garbage cans really well with plastic bags and then use them to hall the ice.
  • this is a great thread! we are doing our wedding reception in our room afterwards... don't **gasp** but we are just going to Albertsons getting some party platters for our appetizers we have about 20 people, and people are flying out right after our wedding ( sunday saved us a bunch of money to get married) the suit case is a great idea for the liquor! i think our only option is to get the ice out of the ice machine in the hotel, we have a fridge in our suite , we are flying in friday morning and picking up plates, napkins, silverware and glasses for the guests

  • i just looked at the Oriental Trading Company catalog..not sure if you will think this is cheesy, but they have a inflatable buffet, in the picture they have ice and drinks in it

  • so we are also doing an insuite reception but will only be for 1 hour. we are getting heavy apps for Maggianos and was wondering for the beer can we take an ice chest up to our room without having any problems? I have seen it done by people in the past but not sure if it is actually allowed? we are having about 40 people

  • I would do the ice chest thing. Just make sure u put the beer in the tub first and put the is on top. You won't need as much ice. I would get a bag from the store less trip s to the ice machine. If u wrap it in a towel leaking should nt be much of an issue. As for melting that much ice take s awhile and if you toss a bucket or two through out the night should be fine
