Communication with Vendors

Hello, 

So my fiancé and I have finally decided on our venue and the restaurant for the "reception." Both are at the Cosmo, I'm getting a little frustrated at the amount of time it takes to for my reps to respond to my emails. I've called them and left messages and I rarely get a call back.   At this point, we are still waiting on contracts to sign for both places. I am worried that if they can't get back to me within a reasonable amount of time to actually BOOK the venue, what is is going to be like to firm up details of the actual day?  

Does anyone have any words of advice on this? I called the Cosmo on Monday to book both places and was told I would have the contracts by the end of the week, still nothing. 

I'm getting kind of scared that I made the wrong choice.

    Who are you dealing with? We were just there on Tuesday for a scouting trip, and apparently there's some management changes occurring with the wedding department. We were working with Christina, and then ended up doing a tour with Ashley (just posted our scouting review!)

    Apparently, and this is a big apparently, they only do one wedding a day, so hopefully that should alleviate some issues.

    Thanks for your reply @xoeden... this makes me a little nervous. I have been dealing with Christina, and she was the one that toured us also.   

    Hopefully I'll hear from her tomorrow and things will go smoother from here out.

    I'm not sure if Christina's the one leaving the property or not, because we were double booked with another couple, but if you want I can send you the information for the girl we toured with (Ashley) as she's apparently moving in to management at the Cosmo.

  • Two pieces of advice:

    1) Wedding vendors are mostly horrible at communication if you're not a few weeks away from wedding day.  I wish it weren't the case, but most wedding-related communication is not particularly time sensitive early on, and then get both time sensitive and dramatically increase in volume just before, so the end result is most vendors take a few days to respond earlier but improve later.  So, moral of the story, I wouldn't be too worried about it yet, even though it can be frustrating since it's your wedding and you want answers now. :-)

    2) The job turnover rate in Las Vegas is absolutely insane at resorts, and even more so in the wedding departments.  Anyone you're communicating with that is an employee and not a business owner, such as the wedding coordinator at a resort, you should expect to turn over several times per year, so you almost never end up working with the same person on wedding day that you began your planning with.  Over the 14 months between choosing our venue and wedding day, the general manager of the restaurant changed once, that position's assistant changed twice, the person we coordinated with Mandalay group dining through for certain matters changed three times.  "Mom & Pop" type companies that you work with of course won't have that type of issue, but you should expect it at pretty much any other big business/resort/chapel in Vegas.  The funny thing is that people seem to even move up in that manner.  I wrote a letter to the VP of food & beverage at Mandalay last week and found his profile on Linked In; he's held about six jobs in six years at various casinos, and each move, was vertical, so it's almost like the city thrives on turnover where outside of there I'd never even consider hiring someone who changed jobs once a year for a long period of time.

    Thanks @vegasgroom -- I don't mind them not getting back to me about small details that are still months away. I understand that there are more pressing matters that may need their attention first, but I am waiting on my contract to book the place. I am about to drop a few thousand dollars as a deposit and I can't get any answer back.  Makes me want to reconsider booking. 

  • I've found some are really horrible at email but great via phone; that may be something to try.  Freed's bakery for example, I could get nothing done via email and was about to drop them, but then found that they could almost always help me by phone so I stuck it out.  It isn't my preferred method since I tended to work on our wedding at night, but just how it had to be with them.  Could ask for a manager too if you're not getting call backs.

    I just called and after a little big of phone tag I got some answers. Things are taking a little longer than I would have liked, I guess I imagined a Vegas wedding venue was used to doing things in a "hurry." But at least now I have a timeline. I am just excited and want to keep planning but I don't want to get ahead of myself.
