accommodation help!

FI and I reserved a block of rooms and rented a shuttle to transport our guests to and from all events. Our wedding is 6/30 and RSVPs are due 5/30, but we've already had an overwhelming amount of guests RSVP to use transportation. I called the hotel to add more rooms to our block, but learned  the hotel is completely sold out of rooms for the night, so we cannot add any more. There is still a large number of guests who do not have a room (including the MOH and my grandmother).

There are no other hotels this town. My dad thinks these guests are SOL (sorry out of luck) and they should have made accommodation arrangements sooner. I feel we offered rooms with transportation, and it is rude to not provide it to so many guests. Since the wedding at the beach the weekend before July 4th, most other hotels are completely full.

There is a motel with rooms available, but the reviews online are horrible. Also, there is another town (at the beach) with several hotels scattered. Each has a few rooms, so guests would have to stay at different places. The shuttle would stop at one hotel and everyone would have to meet there. Both options are in the opposite direction of the original hotel, and we probably do not have money to rent another shuttle, so it would leave guests waiting.

I am so frustrated with this whole thing. I realize it is poor planning on our part (although my parents thought we got too many rooms originally, and the hotel thought they would not sell out). I feel like I am not getting any help with this from FI or my family. Sorry for the long post, but any suggestions would be great!

  • Honestly, I agree with your Dad.

    Out of curiousty: why do you feel responsible for getting all your guests to your wedding?

    I am sure they can figure out how to get there. I get that the shuttle is a nice service to offer but if they wanted to use it they should have booked their rooms sooner.

    Try not to worry about it.. it is not your fault your guests waited to book rooms and not your fault that the hotel booked up.
  • Well, atleast the majority of your guests are on top of things. My wedding is also the 30th and one of our hotels hasn't even had one room booked. The special pricing expires tomorrow.

    I agree with your dad. There has been ample time for them to book their rooms, why did they wait til the last minute? Since you already have a lot of peopel taking advantage of your shuttle, its not like you have to worry about it being a big waste of money (like I am!!)  I'd let your guests take care of themselves. Someone could always go pick them up at another hotel and take them to the one where the shuttle picks them up. MOH will probably be with you all day so she can ride with you.

  • I agre with the PPs and your dad- you did the best you could but i the guest wanted to use that service, than they should have booked their rooms sooner.

  • You are not a travel agent.  You set up the block and those who didn't get in on it are adults.  They are perfectly capable of looking up other options and making reservations where they feel comfortable.

    This.  It is not worth the stress of tracking them all down and making sure they all have a hotel room and shuttle service, especially when it is not a requirement of hosting a wedding.

  • I'm sorry your dealing with the stress of the situation, I can only imagine how stressful it must be. I agree with the PPs and your Dad. The guests are adults andthey are going to have to find a hotel room for themselves.

  • Thanks ladies! I guess I just felt bad because the invite said rooms are available until May 30th, but the reality is, they are not. I am hoping everything works out for all our guests.

    Honestly, that's just the nature of hotels.  Any rate is only good to the point that the hotel's booked out, regardless of the expiration date.  I'm sure they'll be fine :)

  • I agree with PPs and your dad.  It's not your fault they waited until the last minute.  I wouldn't worry about it too much and just let them find their own accommodations.  You can only do so much and right now is not the time to worry about that.

  • I'm leaning towards siding with your dad - at the beach the weekend before July 4th. People should have realized to book early. Our best man still hasn't RSVPed and our block was just released and I really don't care at this point if he doesn't have a room. I can't baby sit anymore.
