I'm having a hard time figuring out how to set up the room

Our tent will be 40x100 or 40x80 depending how many people come. I'm tossing around the idea of a head table which will seat 15 total. That means we need about 30 feet but will have 32ft because of the size of the tables. Our dance floor is 20x20, we'll have 2 bars, cake cutting table and really small "loungs area" with a couch and a chair.

I originally thought to do the head table and dance floor in the center with a row of round tables that seat 8-10 in between. But then I'd realize that a lot of our pictures will then show the dirt pasture behind either the head table or the dance floor whichever side was decided to use for either.

Then, I thought to place the head table with our backs to the ocean and garden. BUT where do I put the dance floor then? FYI the short side of the tent will be horizontal to the water. How close is too weird for the bar? Maybe 1 round table away? Also, we're planning for 25 tables and 254 people I think.

Any ideas? Advice? I've been messing around with the seating chart tools but I can't figure out what'll look the best. Also, I'm kind of thinking that I'd like the dance floor to be at the edge of the tent with tables butted up against the inner edges of the dance floor. I think if we put it in the center that people will feel on display.

  • I'm sorry, but I am completely lost. I'm trying to picture it in my mind. Do you have a map of the possible choices? Maybe include a picture of the area so we can see and help you out?? Sorry!

    If this helps- we are having our head table and 2 round tables on the dance floor and they will be pushed back (or removed) once dance starts. We will be sure to have older people (or people who may have a difficult time moving) seated on tables that aren't on the dance floor.

    OK So the long table at the bottom is the head table, I don't think I'd want to move the whole table out of the way but maybe just keep it where it is when dancing starts. The gray table to the right would be the cake table, that looks akward. Then, a table, then DJ and then seating. On the left side the gray table is a bar and then seating and another bar at the other end of the tent. I figure I'd put the lounge area in the blank space to the left? Or in the top left corner of the dance floor? What do you guys think about all this?

    Sorry the picture is crappy but I couldn't get a long skinny head table to work on the other good programs I could find.

  • How about having your lounge chair away from the dance floor in case people want to relax and not be so close to the loud music??

    Our lounge chair will be on the opposite side of the room from the dance floor, right next to the bar.

    I think your map looks fine, but how about switching the cake table with the actual table so the table isn't right in between the cake table and DJ? I don't think people are going to be like "OMG she should have had the cake table over there! And the head table should have been right here! Seriously!!" As long as everything fits and it's not too crowded, I think it's okay.
