Well the caterers that we find advise you to come up with a proposal & menu and they can try to work around it and compromise to fit within your budget.  So depending what kind of menu you will have and decorations- table setting, silverware as opposed to plastic, buffet as opposed to served dinner, appetizers and such- it should make things easier. But its hard when its your first time planning.
